building-magnifying-glassViews, Assistant, Search: when to use which?

In Formality, you have three complementary ways to access information: Views, the Assistant and Search. Each meets a specific need.

πŸ”Ž Views: your personalized dashboard

The Views are used to organize information in a recurring and shared way.

  • When to use them?

    • Regularly track the same criteria (for example: all leases expiring in 6 months, or all supplier agreements > €100k).

    • Provide your team with preconfigured filtered lists to avoid everyone having to recreate the same filters.

  • Key advantage : time savings and consistency, especially for non-expert profiles or teams that need an immediate operational view.

πŸ€– The Assistant: your intelligent co-pilot

TheAssistant is here to give you direct, contextualized answers.

  • When to use it?

    • Quickly understand a clause or legal jargon.

    • Summarize a contract or an entire file.

    • Find a specific piece of data without browsing multiple documents (e.g.: "What is the lease term for the Rivoli building?").

  • Key advantage : it reads and understands documents for you, and cross-references information across modules (agreements, Entities, Assets), while respecting your access rights.

πŸ“‚ Search: find a document or a specific piece of data

The Search is ideal for quickly locating a known item.

  • When to use it?

    • Find a contract, an Entity, an Asset from a keyword, a name or a reference.

    • Check for the presence of a specific document (e.g.: "NDA signed with GreenTech").

    • Access an attachment or a registration number directly.

  • Key advantage : immediate efficiency as soon as you know what you are looking for.

✨ In summary

  • Views β†’ for regular and shared tracking

  • Assistant β†’ for analysis and contextualized answers

  • Search β†’ to quickly find a known document or piece of data

These three tools complement each other: Views provide a structured view, Search instant access, and the Assistant intelligent insights.
