Audit trail & history

Transparency is at the heart of Formality. To help teams stay in control, two complementary features exist: the Audit trail and the Change history.

🗂️ Audit Trail (Audit Trail)

The Audit Trail is a global view that covers the entire workspace. It records all changes made to documents, agreements and entities, with a high level of detail.

What you find there:

• The action performed (creation, deletion, update of a document or a field).

• The person who performed the action.

• The exact date and time.

• The value before and after the change.

👉 Example: deletion of a contract, update of an issuance date, change of a legal field.

Purpose:

Provide a complete and enforceable traceability of all actions taken in Formality, useful notably during an external audit or an internal control.

📑 Change history (within an Agreement)

TheChange history is available directly from an Agreement record. It gives you a focused view on that contract only, without going into the detail of the modified values.

What you find there:

• The actions performed on the agreement (creation, update, addition/removal of documents).

• The user who performed the action.

• The date and time.

👉 Example: update of documents related to a distribution contract, addition of an amendment, creation of the agreement.

Purpose:

Allows tracking theevolution of an Agreement over time, without overloading users with overly technical information.

• Audit Trail = macro vision and detailed view of all actions, to ensure compliance and traceability.

• micro = macro history, centered on an Agreement, to simply track its evolution.

These two tools guarantee Admins full control over the platform’s activity, while giving confidence to teams and auditors.

These views are accessible only to workspace administrators.
