Only a administrator the workspace can enable the Universign integration.

Prerequisites

  • The integration requires an administrator account both on Formality and Universign.

  • Authentication is done via an administrator API key.


Content imported into Formality

  • Automatic synchronization : transactions completed in Universign are automatically imported into your linked workspace.

Do you see a contract in your Formality workspace you don't want to keep? Simply delete it via the document ⋮ menu.

  • Transaction-based integration : only transactions whose status="completed" are retrieved.

  • Document details : each imported contract includes the signed document as well as its Proof file (applicant's copy)arrow-up-right, ensuring traceability and compliance.

  • Multi-document transactions : if a Universign transaction contains multiple signed documents, each is imported individually with its associated proof file.

  • Language settings : the proof file is retrieved by default in English (EN) to ensure consistency in document extraction and tracking.


Setting up the integration

Log in to your Formality account.

Go to the integrations hub

Select Universign

Connect both accounts

Click Connect your Universign account as an administrator, then provide your administrator API key

In case of an error, check the validity of your key or contact Universign support.

Confirm!

Once the connection is established, transactions completed in the last 24 hours are automatically imported into Formality, accompanied by their proof files.


Blocklist feature

  • This feature allows you to specify the email addresses of transaction creators to exclude from the integration.

  • Transactions initiated by listed users will not be imported into Formality, ensuring that only relevant documents are retained.

  • To configure the blocklist:

    1. Go to the Universign integration settings of your workspace.

    2. Add the email addresses of transaction creators to block.

This feature is particularly useful for filtering out tests or irrelevant submissions.


Good to know - Document origin

Each imported document displays a icon indicating its source :

  • 🖋 Universign for signed documents retrieved into Formality,

  • 📂 Formality for a direct import on the platform,

  • 🔗 Other integrations (e.g. Outlook, HubSpot, DocuSign) depending on the connector used.
