As an Asset Manager, you must keep control over your strategic contracts: leases, maintenance contracts, concessions or operational partnerships. The rights over Agreements allow you to precisely control who can view, change or manage these documents, in order to secure your assets and avoid any loss of visibility.
Select a managing group to ensure the monitoring of the Agreement (e.g.: in-house legal team).
Other groups or users may receive:
Read : view the clauses (useful for your operational or technical teams).
Contribute : modify certain information (e.g.: complete the financial data related to the contract).
Manage : oversee the Agreement as a whole, share or delete documents.
➡️ When a user belongs to multiple groups, they automatically benefit from the highest level of permission.
For a group or a user to access an Agreement, they must at minimum have a Read permission on all associated counterparties (e.g.: lessor, operator, supplier).
The default permissions are generated automatically according to existing accesses, but you can adjust them manually to limit the dissemination of sensitive information.
To secure an important Agreement (e.g.: operating contract for critical infrastructure):
Reduce the number of groups having access to the Agreement.
Name a single managing group.
Add, if necessary, only a few key users instead of creating a specific group.
An Agreement cannot exist without at least one managing group.
Administrators can revoke a group's permissions, unless that group is the owner of the Agreement.
The person who creates an Agreement always receives Manage default permissions.
By clearly defining who can see and modify your Agreements, you reduce the risk of error, retain control over your renewals and ensure smooth management of your contracts, even across complex portfolios.
