Permissions define who can see and act in Formality. Configure them correctly to retain control over your data

Manage default permissions

Enable default groups to save time when creating new Agreements, Entities, or Counterparties.

Turn the default group on or off

  • Enabled : the group is automatically added to each new entity, counterparty, or agreement.

  • Disabled : you add the group manually, on a case-by-case basis.

Set the access level

Assign a specific role to each group:

  • Reader → view only

  • Contributor → view + edit

  • Manager → view + edit + delete

Each group must always have at least one Manager.

Choose how rights are applied

  • New data only : permissions will apply only to subsequently created items.

  • Apply to all : update rights across all existing entities, counterparties, and agreements.

This is particularly useful when creating a new department, or when a team expands its scope. It avoids having to manually reassign rights on each existing contract or entity.

Add and manage members

  • Add or remove members according to their access needs.

  • Assign the appropriate role (Reader, Contributor, Manager).

  • Regularly check that the distribution remains consistent.
