With the Entities Studio, you can adapt Formality to the specific needs of your organization by creating your own sections and fields for internal entities and counterparties.

Sections

Sections are used to group fields around the same theme (e.g. Main information, Governance).

  • Formality provides system sections by default to ensure a structured experience.

  • Administrators can create custom sections tailored to their needs.

Section management

  • Create : each key must be unique.

  • Order : use the weight (higher values place them higher).

  • Edit : custom sections can be renamed and reordered. System sections can only be reordered.

  • Delete : possible only if the section contains no fields (never for system sections).


Fields

A field is an input point defined at the level of an internal entity or a counterparty. Once created, it is available on all records of that type.

Available field types

There are 9 field types :

Locale settings

Some fields (e.g. Legal form) can have values specific to each country. You can thus display different options depending on the entity's jurisdiction of incorporation.

Without a defined region, the field appears in all jurisdictions.


Create or edit a field

  1. Open the Entity Studio β†’ tab Fields.

  2. Fill in the main information:

    • Label (name displayed to users)

    • Key (unique identifier, e.g. legalForm)

    • Label for the AI (so the Assistant recognizes the field)

    • Description (optional, to help the AI better understand the context)

  3. Choose the entity type : Internal entity

  4. Select the section where the field will be displayed.

  5. Define the format (dropdown, number, text, etc.) and its properties.

  6. (Optional) Add locale settings to handle local specifics.

  7. Click Save to publish the field.


Best practices

  • Use field names short and explicit

  • Distribute about 5 fields per section to improve readability

  • Set fields by region when legal terms differ (e.g. SARL vs GmbH)

  • Regularly check your fields to ensure their relevance and compliance
