Docusign Integration

Benefit from efficient, reliable and compliant processes thanks to automatic import of signed contracts and metadata validation!

The integration Docusign & Formality allows you to automatically centralize signed contracts in your Formality workspace, with no manual action after signature.

Once connected, Formality detects finalized Docusign envelopes and imports the corresponding documents so they can be analyzed, classified and tracked immediately.

How document import works

Formality synchronizes automatically with Docusign according to the following principle:

1. A document is signed in Docusign

2. The envelope changes to the status finalized

3. Formality detects the envelope during synchronization

4. The documents are imported into the associated Formality workspace

Synchronization frequency

• Synchronization is performed every hour

• On first connection, documents signed during the last 5 days are also imported

A contract appeared in your Formality workspace but you don't want to keep it? Delete it directly via the ⋮ menu in the document options.

Content imported into Formality

For each finalized Docusign envelope, Formality imports:

• The signed document(s)

• The completion certificate (audit trail)

If an envelope contains multiple documents:

• Each document is imported separately

• Each file has its own certificate

An imported document can be deleted at any time from the document's ⋮ menu.

Click on Connect your Docusign workspace as an administrator, then follow the on-screen instructions:

Confirm the connection

Once the connection is established, automatic import starts according to the defined configuration.

Filter imported documents: blocklist

Formality allows limiting imported documents using a blocklist.

Principle

• You define email addresses to exclude

• If at least one participant of the envelope uses an address present in the list, the document is not imported

Participants taken into account are:

• the sender of the envelope

• the signers

• the carbon copy recipients

Configuration

1. Open the Integrations Hub

2. Click on Docusign

3. Enter the email addresses in the Blocklist

This feature is useful to exclude non-contractual documents (HR, personal signatures, automated sends).

Use of carbon copy recipients

Docusign allows adding carbon copy recipients, who automatically receive a copy of the document once signed.

You can use this feature to control imports into Formality.

Example

Create a dedicated address, for example: [email protected]

Operation

• The address is added as a carbon copy recipient in Docusign

• It receives a copy of the signed document

• Formality recognizes this address during synchronization and imports the document

Origin of documents

Each imported document displays a symbol indicating its source :

• ✍️ Docusign for documents signed and transferred automatically,

• 📂 Formality for a direct import on the platform,

• 🔗 Other integrations (e.g. Outlook, HubSpot, Universign) depending on the connector used.

FAQ

Who can see the imported documents?

Only admins can access documents imported via Docusign, as well as on behalf of the user who signed the envelope.

No other user has access to these files in the inbox.

Can I use multiple signing tools in parallel?

Yes. You can connect multiple electronic signature solutions and choose, for each send, the appropriate signature provider (DocuSign, Universign or other). The icons remain distinct to facilitate tracking.
