Structure your Agreements with categories, sections and fields

Introduction

This article guides you through the configuration of Properties to concretely structure your agreements in Formality.

Now we take action: you will define how the summary sheets are organized, which data is visible, and for which types of agreements.

Prerequisites

Before starting, make sure that:

  • you have Admin rights on your workspace;

  • you have access to the Agreement Studio ;

  • you have identified the types of agreements you manage (lease, DPA, guarantee, etc.).

1

Structure your agreements with categories

The agreement categories define the nature of agreements and their classification.

  • They are organized into a hierarchical tree

  • Each agreement is attached to a final category (leaf)

  • Categories serve as context for the display of fields and analysis by the AI

👉 Example: Lease → Commercial lease → Commercial lease France

2

Organize information with sections

The sections structure the summary sheet by major themes.

They allow you to:

  • group related fields together;

  • make agreements easier to read and understand;

  • display information in a logical order.

👉 A section is only visible if it contains at least one field.

3

Define the data to track with fields

The fields correspond to the structured data tracked in agreements (dates, amounts, durations, options, etc.).

For each field, you define in particular:

  • its format (date, text, number, amount…);

  • the agreement categories for which it is visible;

  • the section in which it appears;

  • its display order via weight;

  • the display conditions, if necessary.

👉 The same field can be visible in multiple categories, or only in some.

4

Adjust the display order

The display order of sections and fields is controlled by their weight :

  • the higher the weight, the higher the item appears in the summary sheet;

  • this allows you to highlight the most important information.

Result

Once categories, sections and fields are configured, you get summary sheets that are:

  • clear and consistent;

  • adapted to each type of agreement;

  • ready to be used by the AI, alerts and workflows.
